From organizing teams and coordinating games to supporting coaches and players, their passion and commitment help make our club a thriving basketball community.

Whether it’s developing training programs, managing events, or ensuring everything runs efficiently behind the scenes, our committee members play a crucial role in fostering a supportive and enjoyable environment for all members.

President's Responsibilities

The role of the President is to provide the principle leadership and responsibility for the organisation and the Committee.

Geelong United

  • Attend president meetings at Geelong United Basketball.
  • Sign off and apply for clearance and permits.
  • Entering teams into Sporting Pulse.
  • Respond to emails from Geelong United Basketball, Committee members, Coaches and members.
  • Authorise and enter intent for entry form.
    Attend tribunal.
  • Change teams with Basketball Geelong United after or during grading.

Dolphins

  • Organise committee meetings.
  • Finalise team sheets for junior and senior teams.
  • Organise/oversee presentation day.
  • Deal with disputes and complaints within the club.
  • Ensure Certificate of currency is up to date.
  • Sign off on bills.
  • Respond to emails from committee and members (email provided by club).

Assist Other Committee Members in:

  • Assist in finding coaches.
  • Assist in organising coaching clinics.
  • Sign off/help organise fundraisers.
  • Deal with complaints/ queries for Geelong United Basketball.

Treasurer's Responsibilities

  • Has some financial expertise.
  • Ability to maintain accurate records.
  • Provide advice to the Committee in their management of the Club finances.
  • Administer all financial affairs of the Club.
  • Lead the annual budget process and ensure an appropriate annual budget is provided to the Committee for approval.
  • Ensure development and Committee review of financial policies and procedures.
  • Support any required auditing processes.
  • Receipt of all incoming monies.
  • Bank all monies received.
  • Pay all accounts.
  • Maintain accurate records of all income and expenditure.
  • Ensure that all receipts and payments concur with bank deposits and withdrawals.
  • Monthly financial reports – present at monthly committee meetings.
  • Keep accurate record of all membership payments.
  • Keep accurate record of all membership payments.
  • Be a signatory on club account.
  • Supply the committee with a budget forecast.

Vice President's Responsibilities

The role of the Vice President is to shadow the President in providing leadership and responsibility for the organisation and the Committee and to step into the President’s roles where needed.

  • Assist president with any issues that arise with players or coaches.
  • Represent the President as required (i.e. Presidents meetings with GUB that they are unable to attend).
  • Take meeting minutes.
  • Respond to emails (email supplied by club).
  • Deal with complaints/ queries for Geelong United Basketball (along with President).
  • Deal with disputes and complaints within the club (along with President).
  • Attend tribunal (if needed).

Secretary's Responsibilities

Beginning of the Season

  • Discuss team selections with President/ Vice President and coaches.
  • Create teams according to age and skill level.
  • Hand over team sheet to coach and allow coach to contact players regarding training and games.
  • If no coach available, liaise with parents on the team to try and secure a volunteer to take on coaching responsibility.
  • Obtain copy of Working with Children’s Check (if parents don’t have one, guide them to obtaining a free WWCC).
  • During ‘grading’ touch base with coaches to ensure teams are in the correct division.
  • Touch base with teams over the season to check the players and coaches are going ok.
  • Support treasurer in chasing up fees (alerting the coach/team representative).
  • Ensure player numbers are correct.
  • Update Teams on Dolphins Website.

End of the Season

  • Receive expressions of interest vie email (email provided to you by club) or text/phone.Respond to emails gathering information on player Date of birth, experience etc.
  • Look at current teams and contact coach regarding additional players.
  • Liaise with parents about training, games, coach contact, uniforms, fees and registrations.
  • Follow up with coach and parent one to two weeks later to ensure players are going ok.

New Players

  • Contact coaches to complete returning player forms (player confirmation form).
  • Find out award winners (winter season only).
  • Contact coaches to see if they will continue to coach the following season.

Coordinator's Responsibilities

Committee Member's Responsibilities

The Committee is responsible to manage the club on behalf of the members.

Committee Jobs

  • Attend all committee meetings.
  • Be available for fundraising events.
  • Develop policies and procedures.
  • Regularly communicate with members and responding to feedback.
  • Make decisions that are on the best interest of the club.
  • Act as leadership role models.
  • Assist in finding coaches.

Other Responsibilities

  • Planning future directions.
  • Developing policies and procedures.
  • Carrying out recommendations of members.
  • Regularly communicating with members and responding to feedback.
  • Developing and managing external relationships.
  • Obtaining resources and ensuring that all financial and legal matters are properly managed.
  • Planning succession and conducting induction to newly elected Committee members.
  • Ensuring that all members of the Committee act as leadership role models.
  • Making decisions that are in the best interest of the club and not for individual gain.


A Committee should operate as a team, draw on the skills and talents of each member, and work toward common goals to ensure club success.

Desirable Attributes

Effective Committee members should have:

  • A commitment to the club.
  • Sufficient time to devote to the Committee.
  • An understanding of the role of the Committee and their role within it.
  • Leadership skills and willingness to accept responsibility.
  • Listening skills.
  • The ability to use the technology the club uses to communicate to its members.

Support Staff's Responsibilities

Fundraisers

  • Assist President in organising Presentation day.
  • Organise sponsorship forms (for President to sign off on).
  • Organise members for fundraising BBQ’s.
  • Organise other fundraising opportunities.

Coaching Coordinator

  • Run coaches meetings.
  • Answer coaches emails – address any issues/concerns.
  • Organise coaching clinics (pref. two per season).
  • Assist secretaries, President and Vice President in putting teams together.
  • Support coaches when asked for help.
  • Check in with coaches to see if they need support or ideas.

Court Manager

  • Authorise and organise training.
  • Organise meetings with training venues.
  • Find training courts.
  • Liaise with coaches regarding training times, days and venues available.
